Policy & Procedures
Mosaic Fine Arts Academy reserves the right to make changes on any policies or procedures and make cancellations on any promotions The academy will always honour a contract written with client in a given year. If a new contract is made by the academy for a new school year students will be notified. All policy agreements made upon registration cannot be changed by the academy in the given year. A notification of any changes made to academy policies and procedures will be announced and a new agreement would be required.
Masks:
All staff at Mosaic are required to wear masks and a face shield at all times within the presence of students and visitors. Students are required to bring their own masks from home when attending the academy and must ensure they are cared for properly and have been sanitized daily.
Social Distancing:
All classes have been reduced to smaller sizes with a max of 4-6 students per class depending on class type. We are also offering the option for students to enrol in any of our services within their own social groups of up 8 people max (not including instructor). Due to these circumstances, class sections have been limited, but new sections will open as classes fill up. Our facility will have floor markers in our seating and waiting area. Plexiglass will be added to our reception desk for added protection.
Drop off and pickups:
In order to avoid high traffic within our facility we are only allowing for one parent/guardian to pick up their child from our facility.
Visitors:
All visitors will be required to wear a mask before entering our academy and will be pre-screened first. Please be prepared to answer all screening questions.
Temperature Checks:
Mosaic Fine Arts Academy will be performing daily temperature checks for all students, staff and visitors entering the academy.
Cleaning and Sanitization:
All our studios are cleaned daily, before and after every class. All students must wash and sanitize their hands before starting class, using restrooms, and before and after eating snacks and lunch. Students must bring their own snacks and lunches, sharing snacks and lunches are prohibited. Water bottles are available for purchase at academy. Our complimentary tea and coffee stations will be handled by staff only.
Art Supplies:
All students are required to purchase their own kits and will be given a kit list before starting classes. For camps and workshops, MosaicFine Arts Academy will provide each student with a kit for purchase which will stay at the academy until the duration of the camp registration. Each camp kit will be labelled with students name. Any other supplies provided will be handled by staff. All kits are final sale. Students are allowed to bring their own art supplies from home as long as they meet the kit requirements which will be provided by academy upon request.
Screening Questionnaires and Signed Policies:
All students or parents/guardians of students will be required to fill out and sign a questionnaire prior to starting programs and camps. The prescreening questionnaire and policies will cover the duration of your registration term and attendance at the academy for any camp in their given term. Please be prepared to answer questions regarding your health, travel history and whether or not you have been in contact with others who are covid-19 positive.
This questionnaire must be filled out before moving entering our facility. Please be aware that questions asked on questionnaire will also be asked during phone calls when booking a complimentary consultation with the academy director. The policies will include the parent/guardians responsibility for conducting daily temperature checks with their child each morning, taking full responsibility for their child's attendance to ensure the health and safety of everyone within our studios.
Credits and Refunds:
In the incident of a mandatory shut down by government or act of God, students will be credited their classes. If we are shut down while having already started classes, students will be provided with a credit for what is remaining on their registration and credited for 1 year. As with our camp policies, regular camp policies apply. For reasons related to Covid-19, a credit will be issued for the remaining classes outlined in your registration. All our credit notes are valid towards any of our services. Credit notes will only be given with proof of a doctor's not NO EXCEPTIONS. Students must also provide a mandatory doctors note that the student are free of covid-19 and are safe to return to classes. for reasons unrelated to covid-19 please review the policy documents signed upon registration, thank you.
NEW REGISTRANTS
All new students will receive 20% OFF their total registration fees before taxes (the discount is not applicable on: 1 day classes, portfolio camps and portfolio related classes/courses, private classes, workshops and merchandise). This promotion is a one-time only application and will not be applied again if students quit from classes and register in the future.

MAKE UP CLASSES
- Mosaic Fine Arts Academy Inc., ONLY provides make-up classes for classes canceled by Mosaic Fine Arts Academy Inc. If this is the case, a make-up class will be scheduled. If student cannot make scheduled make-up class, a credit will be applied to the following semester and expires 6 months after issued date. Make-up classes are not re-scheduled.
- If students miss a class for any reason, we do not provide a make-up class and no credit notes are given.
- Students are responsible for their attendance.
- Missed classes are considered lost.
QUITTING CLASSES & REFUNDS
- Partial-refunds, and credits only apply to those registering to camps and termed (4 or more week long)courses. Partial-refunds and credits do not apply to one-day classes' i.e., Parent & Child Artescape, portfolio weekly classes, and workshops). Every other service provided at academy are non-transferable, non-refundable and no credit notes are given.
- Single day classes offered in fall, winter, and spring terms are non-refundable, non-transferrable, and no credit notes are given.
- If a student ops out of our termed program(s) before it begins a refund will be granted. Academy must be notified a minimum of 7 days prior to course starting. Failure to provide adequate notice will result in no refund being granted. All credits are valid for 1 year from date issued.
- Mosaic Fine Arts Academy reserves the right to cancel programs, classes, workshops and camps. If a program is cancelled, a notification will be provided and a full refund will be given.
QUITTING CLASSES & REFUNDS FOR TERMED COURSES AND CAMPS
- After the first day of class students may quit/withdraw. A credit will be given for the remaining balance of that term and expires 1 year from date of credit. Late registration fees will not be credited nor refunded.
- If a student chooses to quit/withdraw from course(s)/class(es) after first day, the student or parent/guardian of student must notify Mosaic Fine Arts Academy within 48 hours after finishing first class. If the student or parent/guardian is unable to reach staff, notifications are excepted via email, and voicemail. After the 48 hours has lapsed, no credit will be redeemable.
- A partial refund will be issued only if classes have been missed or will be missed for medical reasons, and the official notification of the doctor must be provided. Failure to provide notification of doctor (doctor note) in advance or for given emergency will not get partial discount. If doctor note is provided Mosaic Fine Arts Academy will grant 30% of total cost of the the missed day(s).
- All merchandise sold at Mosaic Fine Arts Academy are final sale and non-refundable.
- All workshops and their given promotions are non-refundable and non-transferrable, no credits and no partial refunds are given. All workshops missed are considered lost.
- There are no refunds for camps. No credit notes issued if cancellation is less than 7 days prior to camp start date. Credits are only valid for 1 year from date issued. camps are non-transferrable.
- Medical related absences for 1 Day classes do not qualify for a partial refund.
- Credit notes have to be redeemed in one transaction ONLY. Mosaic Fine Arts Academy will not allow issued credit notes to be divided for use of multiple payments. Credit notes cannot be applied to merchandise. ALL credit notes expire one year from issued date.
- credit notes for summer and regular march break camps are ONLY given in medical emergency situations and a doctor's note is required. If student will need to miss full camp due to medical reasons, a letter from doctor explaining reasons for day absent must be provided as well. The doctors note must outline the dates the student will be missing, in order to get full camp credit note.
- In order to guarantee a spot in any of our classes, courses, camps and workshops, students/registrants must be paid in full before attending class.
- For termed(fall, winter, spring) courses, and camps, students must pay in full 7 days minimum before starting. Failure to pay will result in a late registration fee of $25. The late registration free is non-refundable, non-transferrable and no credits notes are given.
- Workshop registrations end 48 hrs before class begins. A late penalty fee of $25 will be given if registrations is less than 48 hrs.
- The safety of our students is important to us, every student under age 18 must be signed in or out by an authorized parent/guardian at Mosaic Fine Arts Academy. It is the parents responsibility to notify academy if another person will be signing in and picking up their child. Parent/Guardians will be able to register up to four adults that they authorize to sign-in and sign-out their child.
- Mosaic Fine Arts Academy offers parents the option to allow their child to sign themselves in and out of classes. If student is younger than 12 years old they will not be allowed to leave academy until parent picks them up. Only if authorized by parents/guardians for students 13 and older who are allowed to sign themselves out can choose to leave academy. If parent(s)/guardian(s) authorize their underage child to sign themselves out, they cannot hold Mosaic Fine Arts Academy Inc responsible for any problems their child confronts. It is the parent(s)/guardian(s) responsibility to make sure their child is dropped off and picked up. It is also the parent(s)/guardian(s) responsibility to notify Mosaic Fine Arts Academy of any changes to drop-off and pick-up.
- Please note that a late pick-up fee will be in place 15 minutes after class has ended. The late pick-up fee is $5 a minute.
PERSONAL PROPERTY
- Mosaic Fine Arts Academy is not responsible for any lost, stolen or damaged items. It is the responsibility of each student to watch over their personal belongings. It is recommended that any valuable items remain at home. Due to the nature of art, items will get covered in art mediums, therefore "dress for a mess" attire.
BEHAVIOUR AND CONDUCT
- We are a BULLY FREE ACADEMY, if any student is guilty of bullying or harassing another student, staff, teacher, or volunteer, they will be expelled from the academy with no credit and will not be permitted back.
- We do not allow any vandalism and damage to our property and equipment, we will hold those that cause damage to our property and equipment liable and replacement charges will apply.
